When You Save Your Seat ⤵︎

Every month, you pay for things that are supposed to bring you patients:
You pay for the ads…
You pay for the website…
You buy lunch for the doctor’s office and hope they remember your name when the next patient needs PT…

Those charges hit your account whether they brought you 20 new patients or none.
💸 The ad bill still gets paid.
💸 The website still gets paid.
💸 The marketing company still gets paid.
You can see every dollar leaving the business.
Right there on the bank statement next to rent, payroll, and
everything else it takes to keep the doors open.
But the patients you were supposed to get from it?
Sometimes they show up.
Sometimes they don’t.
And when the marketing you pay for isn’t bringing in enough patients, you still have to get them somewhere else.
So you have to do the rest yourself…
It’s 9:30 at night.
Your last patient left hours ago. Your notes are finally done.
And instead of being finished for the day, you’re sitting at the dining room table with your phone trying to think of something to post on Instagram.

The plate from dinner is pushed to the side.
The rest of the house went to bed an hour ago.
And you’ve typed and deleted the same first line four times
Then Saturday morning, you’re under a tent at the local 5K handing out flyers to runners who mostly want a bottle of water.
Sunday night, you’re back at the dining room table planning next week’s posts…
Trying to figure out what to say about knee pain…
Messing with your Google page…
Working on the flyer for the next health fair…
Reading an email from the agency and trying to make sense of the numbers in the report.
And wondering if maybe you’re supposed to spend more on ads next month.
This is all AFTER you spent the week treating patients.
You opened your own clinic so you could practice the way YOU wanted.
But now the patients are the part of the day you finish so the marketing can start.
Your evenings disappear into Facebook posts, emails, videos and “quick” marketing tasks.
Your weekends disappear into booths, brochures, health fairs and community events.
And nobody pays you for a minute of it.
There’s no line on your P&L for the Sunday night you lost planning posts.
There’s no invoice for the Saturday morning you spent standing behind a folding table.
There’s no paycheck for the hour you spent after dinner trying to figure out what the hell to post tomorrow.
And you’re not the only one who pays for those hours...
Dinner gets eaten next to a laptop. Questions from across the table get a “hang on, one second.”

And there’s no way to get back the evening you meant to spend with the people at home.
Count them up…
How long has this been going on? One year? Three?
Every one of those nights is gone forever.
And maybe you could live with that if you knew all that work was filling your schedule.
But you don't even know if it is…
That’s the part that makes it so frustrating…
After all those hours, you figure something should come from it.
You posted three times this week.
You bought lunch for the doctor’s office.
You spent Saturday morning at the 5K.
You paid the agency.
You paid Google.
You kept doing all the things you were told would grow the clinic.
So you wait for the phone to ring.
And sometimes it does...
But a click isn’t a patient.
✅ You sent the reminder…
✅ You had the card on file...
✅ You charged the fee…
A call isn’t an eval.
Someone calls to ask if you take an insurance you’re not in-network with.
Someone else lives two hours away.
Another person wants to know if you offer massage.
Then your Instagram post only gets six likes…
Mostly from other PTs.
Everybody at the doctor’s office loved the turkey wraps…
But three weeks later, you still can’t point to a single new eval that came from them.
And you can't say which dollar or which Saturday brought in a single eval.
Pick any new eval from last week…
Can you say which post, lunch or ad brought them in?
You just know you spent the money.
And you spent the time.
But neither one is coming back.
Then Monday comes…
And you have to do it all over again:
Another post to write
Another bill to pay
Another lunch to drop off
Another flyer to print
Another event to go to
Another week hoping this time it turns into patients.

It's a treadmill, and you can't step off.
Every Monday, it starts from zero.
Because right now, every new eval depends on you keeping it moving.
You either keep paying for it every month…
Or you keep paying for it with your nights and weekends.
If you stopped all your marketing tomorrow, how long would your clinic keep growing?
Not long.
And that’s the problem. Because…
Maybe you’ve already tested that.
It was a slow month.
The ad bill was getting hard to justify.
So you turned the campaigns off.
For a week or two, everything seemed fine.
At least the money wasn’t going out anymore.
But then the phone stopped ringing.
It’s 10:00 Wednesday morning. The front desk hasn’t had a new-patient call since Friday.
You walk up front and ask, “Is something wrong with the phones?”

Nothing is. They’re just not ringing.
The only calls coming in are a cancellation and somebody trying to move tomorrow’s appointment.
So you open the laptop.
Turn the ads back on.
And you think the thing you don’t say out loud:
“I can’t ever turn these off.”
A few days later, the calls start coming back…
But so does the bill.
Next month, you’ll pay it again.
And the month after that.
And the month after that.
Because if your clinic only grows while you keep paying for marketing or doing it yourself after hours…
You never get off the treadmill.
A year from now, nothing about the clinic has changed except two numbers:
1. What you’ve paid for marketing
2. And how many nights & weekends you’ve given to it
Both are bigger. Neither one is coming back.
But that isn’t how every PT clinic grows.
Some owners can turn the ads down and the phone still rings.
They aren’t spending Sunday night trying to figure out what to post Monday morning.
They aren’t depending on another booth, another brochure or another monthly marketing bill just to keep new patients coming in.
But it isn't because they're better PTs than you, or because they got lucky.
It’s because the patients they discharge leave reviews, tell their friends, and come back the next time something hurts.
One of them, Lindsey Bellcase, hit 875 visits in a single month with her ads turned OFF. You'll meet her below.
That’s what we’re going to show you how to build during this workshop.
So you can grow your clinic without another marketing bill…
And without giving up another night at the dining room table trying to figure out where the next patient is going to come from.
You’ll see how when you save your seat for the workshop ⤵︎

You spent years learning how to evaluate patients, treat injuries and get people better.
But nobody taught you how to keep a clinic full.
So you did what every practice owner is told to do:
✅ Buy the ads
✅ Market to the doctors
✅ Post more content
And you followed the advice PTs hear from the beginning:
“Take care of your patients, and the rest will take care of itself.”
That’s great advice for treating patients…
But it won't fill your schedule.
You can be the best PT in town.
You can get great results.
Your patients can love you.
But none of that helps the next person who types “physical therapy near me” into Google, if your name isn’t the one they find.
Your patients already know how good you are:
They trust you.
They’ve seen what you can do.
And they know other people who need the same kind of help.
But most clinics never give those patients a reason (or a simple way) to send anyone.
That's why word of mouth feels like something you only get after ten years in town. Nobody's helping it along.
Think about the last patient who said, “I’m going to have my dad call you.”
Did he ever call?
So instead, you spend more on ads.
I did the same thing in my own clinics.
I thought more marketing was the answer too…

I'm Robbie Woelkers, one of the founders of Rehab CEOs.
Before that, I owned and operated three outpatient PT clinics.
I went to PT school, not marketing school. Same as you.
So I've already made the expensive mistakes you're trying to avoid, on my own schedule, with my own money.
When we opened our third clinic, everything looked like it was working:
✅ We were getting evaluations
✅ The marketing was producing leads
✅ The phone was ringing
But the schedule still wouldn’t stay full.
Patients would come in…
Complete an evaluation…
Maybe show up for a visit or two…
Then disappear.
Months later, one of them stopped me in the grocery store. “I thought you hated me because I stopped coming.”
My first thought was simple:
We need better marketing.
❌ I blamed the leads and bought more
❌ I blamed the ads and changed them
❌ I blamed the budget and spent more
But nothing worked.
We were pouring more and more water into a bucket with a hole in the bottom.
So I finally stopped asking:
“How do we get more patients?”
And started asking:
“Why aren’t we keeping the ones we already have?”
That one question changed where our new patients came from…
So instead of changing the ads again, we started changing what happened after patients came through the door.
(I'll show you exactly what we did at the workshop!)
And it didn't take long to see the difference…
Our patients started doing more of what we wanted them to do:
✅ They finished their plan of care
✅ They left more 5-star reviews
✅ They told their friends about us
Then I noticed something else…
More and more of our new patients were coming from people we had already helped.
Our own patients were sending us new ones.
And the schedule started filling up.
That's the same system that helped us scale three clinics past seven figures.
We didn’t have to pay for those patients.
We didn’t pay for another click, lead, or ad.
They were coming from the patients we already had.
And your clinic can grow the same way, starting with the patients you saw this week.

There are two ways to grow a clinic.
You can pay for your patients…
Or you can have them sent to you for free.
Both work.
But paid marketing only works as long as you keep paying for it.
Turn the ads off…
And the leads STOP.
But a happy patient can leave a review.
They can tell a friend to come and see you.
They can come back the next time they need you.
Then every patient they send can leave a review, tell a friend, and come back too.
And none of that requires another ad, another monthly marketing bill, or another night at the dining room table.
You can turn off an ad.
You can’t turn off a patient who loves you.
And every patient you help this month can send you next month’s.
That’s what we’re going to show you how to build in this workshop.
So you can get more:
✅ 5-Star Google Reviews That Bring New Evals
✅ Word-of-Mouth Referrals You Don't Pay For
✅ Returning Patients Who Call You First
You’ll get that system when you tap the button below ⤵︎

It’s supposed to be your slow month…
But your schedule is full.
And this time, you didn’t have to buy every new eval on it.
❌ You didn’t need another ad campaign.
❌ You didn’t spend another Saturday at a health fair.
❌ You didn’t give up another night planning posts
Your patients helped fill it for you.

It’s Tuesday morning, and a woman you’ve never met is filling out her intake forms at the front desk.
“How’d you hear about us?”
“My neighbor sent me. She wouldn’t stop talking about you. She made me promise I’d call.”
Her neighbor?
That’s a patient you discharged MONTHS ago.
She got better. She remembered you.
And since then…
She’s sent you three new patients.
You didn’t pay for any of them.
You simply gave one patient a reason (and an easy way) to send the next one.
We’ll show you how.
The patients you discharge can keep coming back to you for years.
The next time their back goes out…
Their knee starts hurting…
Or they wake up with a shoulder they can barely move…
Your clinic is the first place they’ll call.
And while your old patients are coming back…
The reviews they’ve left are helping new patients find you too.
Your 11:00 is someone you’ve never met before.
She drove past two other PT clinics to get to yours.
Why?
She found you on Google the night before.
She read your reviews.
And one from a retired teacher you got back to pickleball gave her enough confidence to call.
One patient comes back because they never forgot your name.
The next one chooses you because your patients already told her you were good.
That's how the patients you got better keep filling your schedule.
Your patients aren’t the only people who can spread the word about what you do.
Every time a doctor, surgeon, or other provider sends someone your way, you can turn that one referral into the next one.
But only if they hear what happened after that patient walked through your door (we’ll show you how).
At 3:30, another referral hits the schedule.
It’s from the orthopedic office across town.
A few months ago, they sent you a high school soccer player after ACL surgery.

✅ They finished their plan of care.
✅ Their back on the field.
✅ And the person who sent them to you knows it.
So when the next patient needs PT…
Your clinic is the one they think of first.
You got them a great result.
Now the office that sent them knows it too.
At 6:15, you pull into the driveway.
And for once, work stays in the car.
The laptop stays in its bag.
❌ You’re not sitting at the dining room table trying to come up with tomorrow’s Facebook post.
❌ You’re not tweaking a flyer after the kids go to bed.
❌ You’re not checking ad numbers from the couch while your
family watches TV without you.
You’re HOME.
Actually home.

You get to eat dinner while it’s still hot off the stove.
Your kid tells you about the test they aced at school today, and you’re at the table to hear all of it.
You put your phone down without wondering whether taking the night off is going to cost you next week’s patients.
Because the clinic doesn’t stop growing just because you stopped working for the day.
✅ Patients are leaving reviews.
✅ They’re telling friends.
✅ Past patients are coming back.
And none of it costs you another night at the dining room table trying to come up with something to post.
Then something else starts happening…
The schedule gets full enough that you finally hire the PT you’ve been putting off.
And instead of bringing her into an empty calendar and hoping you can fill it…
She starts with patients waiting to see her.
Her first day, she has evals booked before she even finds the break room.
The schedule is fuller than it’s ever been, and you’re still home by 6:15.
You built a clinic that can keep growing without taking every evening and weekend with it.
250+ practice owners have already built their clinics this way.
You’ll discover how when you save your seat for the workshop ⤵︎

One of them, Lindsey Bellcase, hit 875 visits in a single month with her ads turned OFF. You'll meet her below.
That’s what we’re going to show you how to build during this workshop.
So you can grow your clinic without another monthly marketing bill…
And without giving up another night at the dining room table trying to figure out where the next patient is going to come from.
You’ll see how it works when you save your seat for the workshop ⤵︎

And while your old patients are coming back…
The reviews they’ve left are helping brand-new patients find you too.

You pay a price every time your phone rings.
Maybe you paid Google or Facebook to make it happen…
Maybe you bought lunch for the doctor who sent the
referral…
Maybe you spent years building the reputation that made
someone recommend you.
However they found you, you already paid for that call.
And they’re the easiest patient you’ll ever get.
They hurt. They want it to stop. They called you.
And yet, some of them STILL never become your patient.
Why?
Because you’re losing them in five different places ⤵︎
Your front desk is on hold with an insurance company…
Or the front desk is empty today, and it's just you...
…but you are with a patient.
You hear the phone from the treatment room...
One ring…
Two rings…
Three…
Then... SILENCE.
You just lost them.
Everything it took to make that phone ring worked:
The ads worked
The doctor you had lunch with worked
The review somebody left last week worked
All of it got them to call you…
But then no one answered.
So instead, you just bought a patient for the clinic down the street.
Because that’s who picked up.
And it wasn’t the only one you gave them…
It happened last week, too. 😬
How many of the people who called your clinic last month are on somebody else's schedule right now?
Lose enough patients this way, and eventually you hire someone to make sure the phone gets answered.
But even then, you can still lose the patient ⤵︎
This time, somebody answers.
But before anybody asks the patient what hurts…
…the first question is, “What insurance do you have?”
Now the person in pain is reading numbers off a card to a stranger.
They called because they need HELP.
Not so they can help you do paperwork.
So it’s no wonder they hesitate when you tried to book them:
That’s not a maybe…
That’s a no with manners.
Then, the call ends…
And they don’t call back. Ever.
They call the next clinic on the list.
THAT’s who gets the eval. Your competitor.
You paid for the call…
But they got the patient.
The patient who should’ve been yours.
And nothing about that call looks like a loss.
It got answered….
So If you asked how the morning went…
You’d hear that it “went fine.”
But it didn’t. You still lost the patient.
And you can still lose them even after they book the eval ⤵︎
They sounded ready when they booked…
They're on the schedule for 10:30, and you blocked the time.
But then 10:30 comes and goes…
🤞 At 10:35, you send a text...
😟 At 10:45, you leave a voicemail…
💸 At 11:00, you lost the hour… AND the patient
You might charge for that…
But you can’t grow your practice on cancellation fees.
Because they don’t cover what you REALLY lost:
The entire plan of care that never started.
You did all the right things:
✅ You sent the reminder…
✅ You had the card on file...
✅ You charged the fee…
But you’re still left with an empty treatment room.
Those first three patients never even made it through your door.
The next two are lost while they’re standing right in front of you ⤵︎
They came in. That part worked.
❌ But their benefits never got checked.
So the first person to find out what they owe is the patient…
Standing at your counter, with their coat still on.
And when the answer starts with, “I think your copay is…”
…the patient isn’t just deciding whether they can afford care anymore.
They’re wondering why you didn’t tell them sooner.
So instead of starting treatment…
✅ They leave saying they’ll check on it…
✅ Or think about it…
✅ Or start next week.
But they never do.
At least, not with you.
They go to the clinic down the street instead.
Which brings us to the last place you lose them…
The one where you did everything right ⤵︎
This one FEELS like a win…
The patient understands what’s wrong, feels confident in your recommendation, and is ready to start treatment.
But then they get to the front desk…
…and it ALL falls apart.
❌ Somebody rushes through the plan at the front desk.
❌ One visit gets scheduled instead of the full plan of care
❌ Nobody knows what to say to “Let me think about it.”
So the patient leaves WITHOUT committing to the plan of care.
You paid every cost to get them in…
✅ You paid for the call
✅ You booked the eval
✅ You got them in the door
✅ You did the eval, and you did it well
But you will NEVER see them again.
You did all the hard work…
…then lost the entire plan of care at the very last step.
And you’re losing them every week.
Every one of those patients had already found you.
And you paid for all five of them before the phone ever rang.
✅ You earned the review
✅ You bought the physician lunch
✅ You paid Google to make the phone ring
You paid for it in ad money, or in lunches, or in years.
And it worked. All of it.
❌ The call gets missed
❌ The eval never gets booked
❌ The appointment no-shows
❌ The insurance surprise sends them home
❌ Or a great eval ends with, “Let me think about it”
And the patient who called you because they’re in pain is still hurting.
💸 You raise the ad budget…
💸 Then you take another doctor to lunch…
💸 Then you sponsor another local event…
All just to make your phone ring again…
It happened LAST year…
It happened THIS year…
And it’ll KEEP happening NEXT year…
Until you fix what’s causing the problem.
That’s the loss you never see on a report.
You can pull every report in your EMR and still never find it.
All you see is the empty hour…
You don’t see the patient who should’ve started care.
You’re losing patients like this every week…
And you’ll KEEP losing them until something changes.
You’ll see exactly how to fix it at the workshop ⤵︎

PT school taught you how to get people out of pain.
It showed you how to evaluate a patient, figure out what’s wrong, build a plan of care, and help them get better.
But it did NOT teach you what to say when that patient calls.
❌ Or how to get the eval booked when they hesitate.
❌ Or how to keep them from no-showing.
❌ Or how to explain the money before it becomes a surprise.
Or how to get them to start the plan of care, AND finish it.
You were only trained for what happens once the patient is in front of you.
So were we.
We had patients slipping through the cracks at our own practices until we built a system to keep them moving through the full plan of care.
So you did what every practice does…
❌ You figured it out as YOU went.
❌ Your front desk figured it out as THEY went.
❌ And every time someone new gets hired…
They figure it out all over again.
That’s why you keep losing patients
We’ve seen this exact pattern in over 400+ clinics.
And it isn’t five different problems either…
It’s one missing SYSTEM.
But once that system is in place…
The calls you’re already paying for will turn into:
✅ MORE booked evals
✅ MORE patients who show up
✅ MORE plans of care that get started
You’ll get that system when you save your seat for the workshop ⤵︎

It’s 9:15 AM and you’re halfway through a treatment when the phone rings.
But you don’t even LOOK toward the front desk.
Because whoever answers knows exactly what to say.
The caller gets their questions answered, the eval gets booked…
And by the time you finish with the patient in front of you, there's a new one on the schedule.
At 10:25, your 10:30 eval is already sitting in the waiting room.
Their benefits were checked days ago.
They already know what they’ll pay.
So the eval goes well…
You recommend the plan of care they need, and when they walk back up front, the rest just happens…
✅ Their visits get scheduled
✅ Their payment gets collected
✅ And none of it needed you
You just move on to your next patient.
❌ Nobody has to wave you over.
❌ Nobody asks you what they should say.
❌ Nobody leaves a sticky note on your desk about somebody you need to call back.
It all just… works.
Every patient on your schedule actually shows up.
Every one who needs care actually starts it.
And tomorrow’s schedule is full.
Notice what you DIDN’T have to do…
❌ You DIDN’T spend another dollar on ads
❌ You DIDN’T hire another person
❌ You DIDN’T work another hour
You just stopped losing patients you already paid for.
Your front desk stops asking you what to say.
Your newest hire books an eval on their second day.
And one afternoon a patient you have never met walks past your door and says "See you next week!" like it was always going to happen.
Because with this system, it always does.
So instead of being the backup plan for everything that happens at the front desk…
Every week it doesn't run like this is another week of paying to replace patients you already paid to get.
You’ll see how to change that at the workshop ⤵︎

Lindsey Bellcase started small.
She’s a PT. Her husband is an OT.
Back then, it was the two of them and a part-time admin working out of a small office inside a gym in Rome, Georgia.
And they were competing against what Lindsey calls:
“The two big hospital systems.”
At the time, they were averaging about 30 visits a week.
And growing meant doing what most practice owners do…
Paying for every new patient one way or another.
She ran Facebook ads to bring in new evals.
Then she treated those patients herself.
So every new patient cost her money to get…
And more of her own time once they walked through the door.
And more of her own time once they walked through the door.
You might be doing the same thing right now.
What did your last new patient cost you?
Some patients cost you money.
Others cost you a lunch for the doctor’s office, a booth at the health fair, or the evening you were supposed to have off.
And when you need more patients?
The obvious answer is usually:
Do more marketing.
That’s what Lindsey thought too.
But the thing that changed her clinic wasn’t another ad campaign.
It was learning how to get more new patients from the ones she had already worked so hard to earn.
Instead of letting a successful patient simply finish treatment and disappear…
She started using this system, so every patient who got better kept bringing in business after treatment was over.
And things started changing:
⭐ More patients left 5-star Google reviews.
🔁 Past patients came back when they needed help.
🤝 New patients came in from referrals
Then her town noticed. Her clinic won Best of Rome, GA.
In her words: "We beat the two big hospital systems and our team and clients are who we have to thank."
And eventually, Lindsey did something that makes most practice owners’ stomachs drop just thinking about it:
She turned her ads OFF.
If you've ever tried that, you know how fast the phone stops ringing.
But the patients kept coming anyway.
Then her clinic hit an all-time high for visits.
Here's how far her clinic came, in the numbers she posted herself:
✅ From 177 monthly visits in to over 1,210+
✅ From 100 Google reviews to over 350 five-star reviews
✅ From a small office in a gym to her own 3,400-square-foot clinic, plus a second location
But the biggest change happened to Lindsey…
In July 2025, she took herself off the treatment schedule.
In her words: "I’m finally feeling like I can get some things done that I’ve been putting off for too long."
That's what it looks like when your next patients come from the ones you've already helped.
“I literally just follow everything y’all tell me
and it’s worked pretty darn well!”
Maybe you’re not trying to get to 1,000+ visits a month.
Maybe you don’t want a second location.
And maybe getting completely off the treatment schedule isn’t even the goal.
But you already have the same thing Lindsey had before any of this happened:
Patients whose lives are better because they came to you.
Patients who trust you.
Patients who would come back when they need you again.
Patients who know friends, family members and coworkers who need the same kind of help.
Lindsey already had those patients too.
What changed was what happened AFTER she helped them.
She learned how to get more of those patients to leave a review, send a friend, and come back when they need her.
The ones who could do that for you are on your schedule this week.
And she isn’t the only one.
